Floor It is run by AEAN AXIS NET LIMITED (company number 8196557, NZBN 9429049430752), a New Zealand company ("Floor It", "we", "us"). This policy explains what personal information we collect through the Floor It website (flooritnz.com) and editor (app.flooritnz.com), why, and what you can do about it. We follow the New Zealand Privacy Act 2020.
The short version
- We collect what we need to run your account and make your plans: your email address, your plans and scans, your brand kit, and how you've paid.
- We don't sell your information, show ads, or use analytics or tracking cookies.
- A few trusted services (Cloudflare, Stripe, Resend and Microsoft) handle data for us, some of them overseas.
- You can ask to see, correct or delete your information at any time.
What we collect
Your account
Your email address, when your account was created and last used, whether you're on the free or Pro plan, when your paid period ends, the customer reference Stripe gives us, and any plan passes you've bought (which plan, what you paid, when, and when it was first exported).
Signing in
Floor It signs you in with an emailed link instead of a password. When you ask to sign in, we record a short description of the device asking (for example "Chrome on Windows, near Matamata"), worked out from your browser and the approximate location Cloudflare gives us for your connection. It's shown on the approval page so you can spot a request that isn't yours. Sign-in requests expire after 15 minutes and are deleted soon after. Once you're signed in, a cookie keeps you signed in for up to 30 days.
Your plans and brand
The plan you're working on, the scan or image it's traced over, your uploaded logo, your brand kit (business or agency name, colours and fonts) and editor preferences (such as recent room colours). If you use the editor without signing in, your work is saved only in your own browser and never reaches us.
Payments
Subscriptions and plan passes are paid through Stripe. Stripe collects your card and billing details on its own pages; we never see or store your card number. We receive the status of your subscription or payment and the details on your invoices.
Contact form
Your name, email address, company (if you give one) and message. These are emailed to us so we can reply, and kept in our mailbox. The form is protected by Cloudflare Turnstile, which checks that a person, not a bot, is sending it.
Technical information
Like any website, our hosting provider (Cloudflare) processes your IP address and basic request details to deliver pages and protect the service from abuse. We don't use this to build a profile of you.
Information about other people
Plans and scans often show a property's address and the layout of someone's home, which may be personal information about your clients or the property's owners or occupants. You're responsible for having the right to upload and use that information. We only use it to provide Floor It to you; we don't look through it, share it or use it for anything else.
How we use it
- To sign you in and keep your account secure.
- To save your plans and brand kit, and produce your exports.
- To manage your subscription and tell you about changes to it.
- To answer your questions and support requests.
- To keep Floor It running, secure and free of abuse, and to meet our legal obligations.
We'll only email you about your account and the service. If we ever want to send marketing, we'll ask first.
Who we share it with
We use these providers to run Floor It. Each only gets what it needs for its job:
- Cloudflare: hosting, data storage, security and the contact form's bot check.
- Stripe: payments and subscriptions.
- Resend: sending sign-in emails and contact form messages.
- Microsoft: our email mailbox.
These providers store and process information outside New Zealand, including in the United States. We choose providers that are required to protect personal information in a way that, overall, gives comparable safeguards to those in the New Zealand Privacy Act. We don't otherwise share your information unless the law requires it.
How long we keep it
We keep your account information and content while your account is open. If you ask us to delete your account, we'll delete your account, plans, scans, logo and brand kit within 30 days. We keep records we're legally required to keep, such as payment and tax records (generally for seven years). Contact form messages are kept in our mailbox for as long as they're useful for helping you.
Keeping it safe
Your information is sent over encrypted connections and stored with Cloudflare. Sign-in links are single-use and short-lived, and we store only scrambled (hashed) versions of sign-in secrets. No system is perfectly secure, but if a privacy breach is likely to cause serious harm, we'll tell you and the Privacy Commissioner as the law requires.
Cookies and browser storage
We only use cookies that Floor It needs to work: one that keeps you signed in (up to 30 days) and one that links a sign-in request to the browser that made it (15 minutes). The editor also saves your work-in-progress in your browser's own storage, which stays on your device. We don't use advertising or analytics cookies.
Your rights
You can ask to see the personal information we hold about you, and ask us to correct it or delete it. Email hello@flooritnz.com. We'll respond within 20 working days. If you're not happy with how we've handled your information, you can complain to the Office of the Privacy Commissioner.
Children
Floor It is a tool for making property floor plans and isn't aimed at children under 16.
Changes to this policy
If we change this policy, we'll update the date at the top. If a change is significant, we'll let account holders know by email before it takes effect.
